Job Description

Position Overview:
Join our dynamic team as a Part-Time Assistant, contributing to the success of our Clinical Affairs and Professional Opportunities and Alumni Relations departments. This role offers a unique opportunity to support the coordination of job postings on our website, organize student scholarships, and assist in planning and executing student ceremonies, among other responsibilities. Responsibilities:


1.            Job Opportunity Coordination:
    Collaborate with the Clinical Affairs and Professional Opportunities and Alumni Relations teams to collect and organize job opportunities from various sources.
    Ensure accurate and timely posting of job listings on the organization's website and other relevant platforms.
    Assist in maintaining a user-friendly and up-to-date job board for students and alumni.


2.            Student Scholarships:
    Facilitate the application process for student scholarships, including organizing application materials and communicating with applicants.
    Assist in the review and evaluation of scholarship applications according to established criteria.
    Coordinate with relevant stakeholders to ensure scholarship recipients are notified and acknowledged appropriately.


3.            Student Ceremonies:
    Support the planning and execution of student ceremonies, such as white coat ceremonies, placement ceremonies, and the transition ceremonies.
    Assist in logistical arrangements, including venue coordination, guest invitations, and program preparation.
    Contribute to creating a memorable and smooth experience for students, alumni, and attendees.
 

Qualifications:

  • Organizational Skills: Demonstrated ability to manage multiple tasks and projects concurrently while maintaining attention to detail and accuracy.
  • Communication Skills: Effective and professional written and verbal communication skills to collaborate with internal teams, students, alumni, and external partners.
  • Tech Proficiency: Comfortable working with various software platforms and content management systems for posting job opportunities and managing scholarship applications. Proficient with MS Office.
  • Team Player: Enthusiasm for contributing to a collaborative team environment and supporting colleagues in achieving common goals.
  • Problem Solving: Proactive attitude in identifying challenges and finding practical solutions to improve processes.
  • Time Management: Ability to prioritize tasks, meet deadlines, and adapt to changing priorities in a fast-paced environment.

 

Qualifications

  • High school diploma or equivalent; pursuing or possessing a degree in a relevant field is a plus.
  • Previous experience in event planning, administrative support, or similar roles is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with web-based platforms.
  • Flexible availability to work part-time hours based on the needs of the department, including occasional evenings and weekends.
